This role is vital to the health and success of the agency.
What you will be doing:
- Ensure that all projects are delivered on-time, within scope, and within budget
- Administer and maintain multiple Monday.com tasks and subtasks
- Schedule and facilitate all meetings including; planning meetings, stand-ups, reviews, retrospectives, demos, required to unblock team members and drive stories to completion
- Work with Director of Ops to help calculate team members’ bandwidth for incoming work and existing work, moving tasks to give a resource more time or pulling in different resources to help
- Adjust job schedule and overall workload as job demands change
- Manage daily workstreams to ensure deadlines are being met and resources are efficiently and appropriately allocated
- Determine ways to optimize and improve Monday.com setup
- Assist team with making appropriate commitments through story selection and task definition
- Possess expert project planning skills, including the ability to organize, prioritize, and control job responsibilities in order to meet deadlines in an environment with overlapping and potentially conflicting priorities
- Prepare daily, weekly, or as-needed status updates to all team members
- Provide administrative support to team by typing correspondence, drafting/proofing memos, and letters, coordinating various project-related meetings, assisting with submittals, copying and distributing plans and specs, administering weekly site management forms, filing, etc.
- Proactively reserve/book all appropriate team members’ calendars based on project plan (internal due dates, internal reviews, client presentations, revision due dates, etc.) for the entire project timeline
What you bring:
- 1-3 years of experience in project management, resource allocation, or account coordination
- Experience working with project management software, digital platforms, and Excel
- Experience organizing meetings, maintaining project plans, budgets, and status reports; providing feedback on standards and approaches to the work
- Track record of driving the delivery of projects on time
- Excellent organizational, written, and oral communication skills
